A set of simple coordinates is sent to them. They can see that there are quite a number of other factions here as well, seems like the invitation was broadcast to many people.
The coordinates take them to a station within The Embassy, interestingly enough, one of the exterior-most. They are locked into it by gravitometric means, and nuclear-grade weaponry is removed by some kind of transimensional percolation method, though they couldn't really catch what it exactly was before it happened and dissapeared. A prong connects to the ship and they are motioned inwards to meet the representative.

The ship is motioned towards one of the bigger stations that make up the different protection spheres of the planet. unsurprisingly, the hauling ships that move containers about, not having to worry about many attack and defense measures beyond simple asteroid destruction, dwarff the Ottawa, and as such, the docking area fits the ship without any problems.
The enormous concrentric rings around the ship spins as they enact a barrage of scanning procedures within the ship. By some unknown method, all nuclear grade and above weaponry of the ship is removed in the blink of an eye, would be rather insulting to such a warship if it weren't standard procedure.
A prong connects from the station to the ship, and the representatives are motioned inwards to meet The Embassy's representative to deal with diplomatic questions.

The diplomat is a lizardman dressed in The Embassy's usual grey and golden robe-like clothing. It seems that your diplomats just always seem to meet a lizard at one point or another. He begins speaking fluently in G-S16 Galactical Standard with little effort:
"Welcome, Jinaris representatives!. I see you have received the invitation correctly. We have contacted many nations in the galaxy, and we hope to bring everyone here so we may decide things under a common banner, finally unite que cogs in these machine so they may work in unison.
The procedure is simple, we know you are already trustworthy, so all that is to be done is for you to sign the papers, and you'll have permission to function within The Embassy's function, including representativeness within The Senate, building your governmental representative buildings within the grounds, enacting trade, and much, much more."
The Lizardman offers a stack of papers, shuffling through them, they are a plethora of agreements and procedures giving the Jinaris Empire a whole range of autonomy within, which other factions also enjoy equally, whilst also facilitating future relations, such as the building of HQs of private enterprises upon Embassy grounds.
